State systems differ: some require plates to be returned or registration to be cancelled before insurance ends; others allow cancellation once the vehicle is transferred and no longer in your possession. If you are unsure which rule applies to your specific vehicle record, check with the Illinois DMV or Secretary of State vehicle services first. Do not create an insurance gap while the vehicle is still registered in your name.
Call insurer with donation date
Call your insurance company and give the donation date as the effective date. Say that the vehicle was donated through Heartland Motors Trust and that pickup and title hand-off are complete. Ask the representative to note the file with the same date shown on your pickup or transfer paperwork. Do not use a date before the car left your possession.
Remove vehicle or cancel policy
If the donated car was on a multi-car policy, ask to remove only that vehicle and keep the rest of the policy active. If it was your only insured vehicle, ask to cancel the policy effective on the pickup/title-transfer date. If you still drive or own another vehicle, avoid any break in required coverage before replacing the policy.
Request any premium refund
If you paid ahead, ask whether unused premium will be refunded from the effective cancellation or removal date. Use the words prorated refund so the request is clear. The amount, method, and timing depend on your policy terms and billing status. If a refund is due, ask whether it will be returned by check, card credit, or account credit.
Save the written confirmation
Before ending the call, ask for written confirmation showing the vehicle removed or the policy cancelled, the effective date, and any refund amount or balance due. Save that confirmation with the pickup receipt, title-transfer records, and donation documents. If the insurer sends only verbal confirmation, request an email, letter, or updated declarations page for your records.
